Approach

How an engagement works

Every engagement follows a clear process, so you know what will happen, when, and who is responsible.

01

Private consultation.

We meet you or your adviser, in confidence, to understand the property, your priorities and how involved you wish to be.

02

Assessment.

We review the property's condition, compliance, building systems, suppliers and records, and set out in writing what needs attention.

03

The mandate.

We agree the scope in writing:

  • what we oversee;
  • the spending limit within which we may act;
  • the decisions that remain yours;
  • how and when you are kept informed.

04

Handover.

Keys, access arrangements, building systems, suppliers and existing records are checked and documented in your property file. We agree how the property passes into our management.

05

Ongoing management.

Day-to-day management under the mandate, monthly reporting, agreed inspections and an annual review with a plan and budget for the year ahead.

Governance

Controls you can rely on

  • Spending authority. We act within the spending limit and responsibilities agreed with you. Decisions reserved for you, or spending above that limit, come to you for approval.
  • Client money. We do not hold client money or operate a client account. We check contractor invoices against the authorised work. Approval and payment follow the arrangements agreed with you.
  • Records. Instructions, quotes, invoices and certificates are kept in your property file and made available to you or your appointed advisers.
  • Contractors. Works are carried out by appointed specialists who hold their own insurance. We coordinate their work on your behalf.

Discretion

Discretion in practice

  • We do not identify clients or their properties in our marketing.
  • A confidentiality agreement is available on request.
  • Keys held and access arranged by the office are controlled and logged.
  • Personal information is handled in accordance with our Privacy Policy.
